Pharmacy Price Update

In order to ensure that stock items have the correct prices loaded, a regular stock price update procedure needs to be performed.

This is a quick and easy procedure that should be performed every day upon receipt of a price update file that is e-mailed daily by iQest.

Please note that in order to receive the price update file, you first have to sign up with iQest. This can be done by contacting iQest Systems on 011-557-4477.

In order to update your stock prices, simply follow the steps below:

Open the program you use to receive e-mails (Outlook, Gmail, etc.) and locate the e-mail that would have been sent to you by Tarshnie Naidoo at iQest.

This e-mail contains an attachment called Hospjx.zip.

Right-click on the Hospjx.zip file and select Save As from the list.

You will now be asked where you would like to save the file. Save the file on your desktop, since this will make it easy to find in the next step.

Locate the hospjx.zip file on your desktop and double-click on it.

You must now extract the file to a folder located on the server, which is covered in the step below. The method of doing so will be different depending on what software you are using, and whether you are using the server as your workstation or whether the server is located somewhere else. If you are unsure of any of the above simply call Web.Xperts on 021-689-8444 and we will help you with this next step.

Select the Extract To option and it you will be asked for a destination path (i.e. where you would like the file to be saved).

You will now need to locate the Common folder.

This can be found by first locating the Clinic Manager folder. In this folder is another folder called ClinicWX.

In this folder is another folder called Clindata, which is where you will find the Common folder.

Extract the file.

A message will appear asking if you would like to overwrite or replace the hospjx.txt file that is currently sitting in the Common folder. Click on “Replace the file in the destination”.

This concludes the first part of the process.

Open Clinic Manager.

Click on the Pharmacy menu at the top of the screen.

Click on Price Update Procedures towards the bottom of the drop-down menu.

Click on Price Update.

A browse will appear with a few of options.

First click on the Load iQest File Only

This will load the FULL stock file.

Then click on the Update Prices Only

This will update the prices of the stock items on your specific system.

It is very important to first click on the Load iQest File Only button BEFORE clicking on the second Update Prices Only button.

Do not click on anything else while the update is being performed.

A message will appear informing you that the update is complete. Click on OK.

Finally, a printout will appear listing all stock items with changed prices. It is up to you whether to print this list or simply close the window.

The Price Update Procedure is now complete.

You will also notice a Reset Flag button on the previous browse screenshot. This button is used when a price update did not complete successfully (maybe there was a power failure, for example). When you try and run a price update it again you may get an error saying that a price update is still being run. Clicking on this Reset Flag button will clear that error away so you can run the price update.
